Payments are fully refundable until 14 days after the payment. 
You may transfer your spot to a friend after this time on the condition you provide us the necessary contact information.

We want our larp to be available to all players but we accept that this will not always be possible. We acknowledge that there are many types of accessibility needs and that everyone is unique. If you have specific needs, requirements or concerns we invite you to contact us at info@thesmoke.com

The design of our events facilitates participants opting out and taking a rest at any point without explanation needed.

You may leave any larp and any time you wish. You do not need to provide any explanation for your leaving. The door is always open should you need to leave and any time for any reason. 

The Safety Team is organised independently of the Event Team. They will handle your safety concerns between them so you will not impact the event if you speak to them. They will only get the Event Team involved if they are needed for whatever reason. 

There is always a dedicated Safety Team member on duty during the event and can be reached either in the Safety Room or from the Event Desk. You are invited to speak to them about anything you may need assistance with regarding your personal safety throughout the event. 

The leads for the Smoke Team are Laura Wood and Mo Holkar. 

We retain the right to refuse participation to anyone for any reason at any time.

We are lucky to have participants from all over the world, this means it is extra important to keep conversations in English to now make others feel leftout. 

We use International English. 
We respect regional pronunciations of English across the world in the same way that we respect regional pronunciations of words across different parts of England.

Try to have an extra chair available for people to join you when you are sitting. 

Let newcomers know what is being spoken about and actively invite people into your discussions. 

If people want or need privacy then please respect their wishes. 

We do not allow any comments about physicality, bullying or discrimination of any kind.

Our events are entirely LGBTQ+ friendly, they have left wing bias politically and are openly feminist.

We currently collect and process the following information:

• Personal identifiers, contacts and characteristics (for example, name and contact details)
• Customer financial information

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• Processing your payment
• Creating bespoke material to your specifications
• Identifying trends and troubleshooting

We may share this information with our writers for the creation of written material to your specification.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are your consent and legitimate interest. You are able to remove your consent at any time.

Your information is securely stored.
We keep personal identifiers, contacts and characteristics (for example, name and contact details) and customer financial information for six years. We will then dispose of your information by deletion. We reserve the right to remove your details from our system at any time for any reason.
